Refunds and Cancellations

Your Commitment Helps Build the High Desert Summit

The High Desert Summit is different from a traditional trade show or convention. This event is being built from the ground up on our private property in New Mexico, and manufacturer participation directly funds the infrastructure, facilities, equipment, and services required to make the event possible.

Because these expenses begin almost immediately after registration and many cannot be canceled, recovered, or reassigned, all payments become non-refundable 36 hours after they are received.

36-Hour Cancellation Period

Manufacturers may cancel their registration within 36 hours of submitting payment and receive a refund of the amount paid.

After the 36-hour cancellation period has passed:

All deposits, installment payments, registration fees, and payments made in full are non-refundable.

This policy applies regardless of the reason for cancellation, including changes in staffing, travel plans, budgets, scheduling conflicts, or a company's decision not to attend.

Why High Desert Summit Payments Are Non-Refundable

Registration fees are put to work preparing for the Summit. Funds may be committed toward site infrastructure, roads and grounds preparation, training areas, manufacturer spaces, power and utilities, equipment, freight and storage logistics, sanitation, food service, security, staffing, technology, attendee services, and other event-related expenses.

Many of these investments are made months before the event and benefit the overall Summit rather than a single participant. Once those funds have been committed, we cannot simply reverse the expenses when a participant cancels.

For that reason, we ask every company to carefully review the event dates, participation requirements, and financial commitment before registering.

Registration Transfers

If a registered company experiences an unexpected change, we will work with the company whenever reasonably possible to transfer the registration to another representative from the same organization rather than lose its participation entirely.

A company's inability to send its originally designated representatives does not cancel its registration or create eligibility for a refund.

Event Cancellation or Circumstances Beyond Our Control

If the High Desert Summit itself is canceled by the organizer and cannot be held, participants will be provided information regarding the options available based on the circumstances at that time.

Events or conditions outside the organizer's reasonable control—including severe weather, wildfire, natural disaster, government action, utility interruption, transportation disruption, or other circumstances that make holding the event unsafe or impracticable—may require the Summit to be postponed, rescheduled, relocated, or modified.

In those circumstances, registration payments may be applied toward the rescheduled or modified event rather than refunded, to the extent permitted by applicable law.

By Registering

By submitting payment for the High Desert Summit, the registering company acknowledges and agrees to this Cancellation & Refund Policy, including the 36-hour refund period and the non-refundable nature of all payments after that period.
